🔑 The Role
The Career Pathways Administrative Coordinator is the critical organizational hub for our specialized career programs. This role ensures that all applications, documentation, and data are managed with the highest level of accuracy and compliance, directly supporting the CEO and facilitating a smooth process for the career pathway professionals.
🎯 Core Responsibilities
1. Career Pathway Professional Pipeline Management
- Consultation: Conduct daily meetings with different career pathway interested clients to enroll in any one of our career pathway programs.
- Recruitment: Plan and coordinate recruitment drives and meet quarterly KPIs registrations.
- Webinar and In Person Seminars: Plan and conduct virtual webinars and in person sessions, this mostly take place on week nights and weekends.
- Client Follow up and Lead Tracking: Manage, edit and follow up with leads until submission.
- Process Reminders: Issue timely reminders to career professionals regarding upcoming application deadlines, submission requirements, and required payments.
- Initial Screening: Perform basic administrative checks on client documents to ensure minimum submission requirements are met before applying.
2. Program Support and Compliance Assistance
- Application Processing: Process newly submitted applications and send out thank you emails.
- Program Lifecycle: Manage the full onboarding process through to completion for all Career Professional Programs.
- Liaison Support: Work alongside all team members such as Study Team and Talent Team.
- Resource Maintenance: Assist in the maintenance and distribution of program-specific checklists, FAQs, and administrative guides.
4. Office Administration
- Handle basic administrative tasks such as scheduling program-related appointments, managing digital correspondence such as emails, chats and calls related to the Career Pathways Program.
📝 Qualifications and Experience
Required:
- 2+ years of administrative experience, preferably in a setting that requires strict data management (e.g., education, immigration, finance, or legal services).
- Exceptional organizational skills and an obsessive attention to detail.
- Proven proficiency in using CRM software, databases, and the Microsoft Office Suite (especially Excel/Sheets).
- Strong, professional communication skills (written and verbal) to correspond clearly with students and partners.
- Demonstrated ability to handle confidential information with discretion.
Highly Desired:
- Prior experience with international student programs or within a regulated professional industry (e.g., healthcare or teaching administration).
- Familiarity with the documentation required for international credentialing.

- Operation Hours: Monday to Friday: 9am to 5pm (Weekends and Week Nights will be required for webinars or seminars with bonus)
- Style: Remote (Jamaica)
- Contract: 1 year
- Salary: $70,000 - 80,000JMD (non tax)
